City DD Logistics Inc.

Privacy Policy

What we collect, why we collect it, where it is kept, and how to get it back or have it deleted. Plain English, because you shouldn't need a lawyer to read a privacy policy.

Who we are

City DD Logistics Inc. is a company incorporated in British Columbia, Canada, operating as City DD Dispatch Desk. We provide independent truck dispatch services to owner-operators and small fleets in western Canada and the western United States. The same company also runs the City DD same-day courier service at citydd.ca, which has its own website; this policy covers citydd.com.

We are responsible for the personal information we hold. Questions, access requests, corrections and complaints go to our privacy contact at desk@citydd.com, who handles privacy matters for the company.

What we collect

When you fill in the form on this website, we collect only what you type into it: your name and phone number (required), and optionally your email address, company or carrier name, MC / DOT / NSC number, home base, number of trucks, equipment type, how long your operating authority has been active, the lanes you prefer, and anything you write in the notes box. We also record which page of this site the enquiry came from.

If you book a free Truck Profit Check, you may choose to share business figures with us on the call or by email, such as rate confirmations, settlement statements, fuel costs, truck and trailer payments, insurance and repair costs. We use them only to prepare your review and, if you become a client, to provide the Profit Desk. We don't share them with anyone, and we'll delete them when you ask. Please share business figures only, never your personal banking details.

If you call or email us instead, we keep the contact details and the notes needed to follow up.

We do not ask for and do not want your Social Insurance Number, Social Security Number, driver's license number, banking details, payment card numbers or any health information. Please don't put them in the notes box.

Website analytics

We use Google Analytics 4 to understand how people use this site: which pages they visit, how they found us, roughly where they are (city or region, not a precise location) and which buttons they use, such as the call and email links. It sets two first-party cookies, _ga and _ga_VFWSGYV73B, which last up to two years. Google Analytics does not log or store IP addresses.

We have switched off Google Signals and ads personalization for this site, so this data is not linked to Google accounts and is not used to show you ads. Analytics data is kept for 14 months, and Google may process it outside Canada, including in the United States. To opt out, block cookies in your browser or install Google's opt-out add-on at tools.google.com/dlpage/gaoptout.

Our website platform also stores a single random identifier in your browser's local storage (named base44_analytics_session_id) so that page views from one visit are counted as one visit rather than many. It is not linked to your name and we do not use it to build a profile of you.

The cost-per-mile calculator and the trucking profit calculator on this site run entirely inside your own browser. The figures you type into them are never sent to us, to Google or to anyone else, and we never see them. Our analytics records only that a calculator was used or printed, never what was entered.

The trucking profit calculator remembers your figures, and the optional month and name you add for the printout, in your browser's local storage (named cdd-profit-calc-v1), so they are still there when you come back on the same device. They stay on your device. The Clear button deletes them, and so does clearing your browser's site data.

Our fonts are loaded from Google Fonts, which means Google receives your IP address when the page loads. We use no advertising trackers, no social media pixels and no session recording.

Why we collect it

To call or email you back about dispatch services, to understand what you run so the conversation is useful, to provide dispatch services if you become a client, and to keep our own business records.

If you become a client, we use your carrier details to do the job you hired us for — which necessarily means providing them to brokers, shippers and load boards when we book loads in your name, and to border agencies when we prepare customs documents for your freight. That is the service.

We will not sell your personal information. We will not use your contact details for a different purpose without asking you first.

Your consent

Filling in our form or contacting us is your consent for us to use your details to respond and to discuss dispatch services with you. You can withdraw that consent at any time by emailing desk@citydd.com, subject to any legal or contractual records we are required to keep.

Where your information is stored

This website and its enquiry records run on Base44, a third-party application platform, on servers located in the United States. Our email runs on Google Workspace, and website usage statistics are processed by Google Analytics.

This means your information is stored outside Canada and, while it is there, may be accessible to United States courts, law enforcement and regulatory authorities under the laws of that country. We tell you this because Canadian privacy law requires us to be transparent about it, not because we expect it to happen.

We use service providers who are contractually required to protect the information we give them, and we remain accountable for it.

How long we keep it

Enquiries that don't turn into a working relationship are kept for up to two years, so we can recognize you if you come back, and then deleted.

Client records are kept for as long as we work together and then for seven years afterwards, which is the period Canadian tax and business-records rules require.

You can ask us to delete an enquiry sooner and we will, unless we are required to keep it.

How we protect it

The site is served over HTTPS. Access to enquiry records is limited to people who need it to do their job. Our email accounts require multi-factor authentication.

No system is perfectly secure, and we won't pretend otherwise. If a breach occurs that creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as the law requires.

Your rights

You can ask us what personal information we hold about you, ask for a copy of it, ask us to correct anything that's wrong, ask us to delete it, or withdraw your consent. Email desk@citydd.com and we will respond within 30 days.

There is no charge for a reasonable request. If we can't give you something, we will tell you why.

If you are not satisfied with how we have handled your information, you can complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca) or, for matters within British Columbia, to the Office of the Information and Privacy Commissioner for BC (oipc.bc.ca).

Changes to this policy

If we change how we handle personal information we will update this page and change the date at the top. If the change is significant we will say so plainly rather than quietly editing it.
